Why photographers should bill in Excel

An Excel photographer invoice is the working version: totals, tax and discounts calculate themselves, and you keep a running history of every job in one workbook. Formulas add up line items and track what is still unpaid; drop-downs for your usual services keep data entry consistent across months; one workbook per client or per season makes year-end bookkeeping a copy-paste job.

Fields a photographer invoice must include

Every job is different, but these photographer fields belong on the invoice. Keep them on the template so nothing gets missed:

FieldWhat to enter
Shoot duration (hours)On-location or studio time billed per hour or half-day
Delivered photo countNumber of edited images included in the package
Retouching / editing feePer-image or per-hour charge for advanced post-production
Print & album costsPrints, albums, or framed products at cost or package price
Usage / license rightsCommercial use, exclusivity, or extended license fee
Travel & location feeMileage, parking or location permits for the shoot
Rush feeAccelerated delivery surcharge

Real scenario: an 8-hour wedding package with a print album

Photography invoices are package-driven — hours, delivered images and usage rights all affect the price, and the license terms belong on the invoice. Here is a worked example using typical photographers pricing:

Photographer Excel invoice questions

How do photographers bill usage rights?

Separately from the shoot: personal-use licenses are often included, while commercial use, exclusivity or extended time carry a fee calculated on the client’s reach and usage.

Is retouching included in the package?

Basic color correction is usually included; advanced per-image retouching (skin, composites) is billed per select or per hour.

When do I invoice the deposit?

A 25-50% booking deposit locks the date, with the balance due before or at delivery — many photographers also set a rush fee for accelerated turnaround.

What is the difference between delivered count and edited selects?

The delivered count is the full gallery; selects are the images you retouch individually, and that is what carries the per-image fee.
