Why painters should bill in Excel
An Excel painting invoice is the working version: totals, tax and discounts calculate themselves, and you keep a running history of every job in one workbook. Formulas add up line items and track what is still unpaid; drop-downs for your usual services keep data entry consistent across months; one workbook per client or per season makes year-end bookkeeping a copy-paste job.
Fields a painting invoice must include
Every job is different, but these painting fields belong on the invoice. Keep them on the template so nothing gets missed:
| Field | What to enter |
|---|---|
| Area to paint (sq ft) | Wall and trim square footage that drives the labor estimate |
| Paint brand & type | Sheen (flat/eggshell/satin), base and finish so the job is reproducible |
| Number of coats | Typically 2 coats; extra coats billed separately |
| Surface prep | Patching, sanding, priming, caulking before the first coat |
| Color matching | Fee when the customer picks a custom tint or matched color |
| Protective coating add-on | Clear coat or sealant for high-traffic surfaces |
| Scaffolding & protection | Ladder work, drop cloths, or full scaffolding on high ceilings |
Real scenario: a two-coat interior repaint of a living room
Painting invoices are square-footage driven, with coats, prep and protection as separate lines so the client can see what they are paying for. Here is a worked example using typical painters pricing:
| Line | Qty | Rate | Amount |
|---|---|---|---|
| Walls & ceiling — 1,150 sq ft (2 coats) | 1 | $780 | $780.00 |
| Surface prep — patch & sand | 1 | $95 | $95.00 |
| Primer — high-adhesion coat | 1 | $120 | $120.00 |
| Paint — eggshell, custom color match | 1 | $140 | $140.00 |
| Protective coating — hallway trim | 1 | $60 | $60.00 |
| Scaffolding & protection (2 rooms) | 1 | $85 | $85.00 |
Subtotal $1,280.00. Two coats are included in the sq-ft rate; the custom color match and protective coating are add-ons the client approved before the job. Net 10 after final walkthrough.

Painting Excel invoice questions
Do painters bill by the hour or by the square foot?
Both are used. Square footage is common for walls and ceilings; hourly rates appear on trim, specialty or small touch-up jobs where measuring is impractical.
Should the paint brand be on the invoice?
Yes. Listing brand, sheen and color lets the client reorder touch-up paint and proves the agreed spec was used.
When is surface prep a separate line?
When patching, sanding or priming is more than light prep. Heavy prep should be quoted separately so change is not hidden in the labor rate.
Can I invoice custom color matching separately?
Yes, as a color-match fee. Many painters also add a protective-coating line for high-traffic trim.
