Food Truck Invoice Template

A food truck invoice template is a vendor agreement on one page: event booking, per-event fee, fuel surcharge, staff labor, and equipment rental become separate lines, so the event organizer can approve the total before you roll up.

Typical food truck prices to sanity-check your invoice

Rates vary by region, food truck size, and scope. These ranges reflect common US food truck pricing and are here as a gut check, not a rate card.

Service Common pricing method Typical range
Event booking Per event, flat $100 – $300
Per-event fee Per event $300 – $800
Fuel surcharge Per event or per mile $20 – $80
Staff labor Per hour per staff $15 – $25
Equipment rental Per event $40 – $150
Deposit Per event, non-refundable $100 – $300

Ranges are general market observations, not a recommendation for what to charge.

Food truck invoice essentials: bookings, guarantees, and pass-throughs

Food truck billing is all about protecting your time and fuel before the event. This template itemizes the booking fee, per-event fee, staff labor, and pass-throughs like permits and fuel surcharge, so the organizer sees exactly what they are paying for and when it is due.

On pricing, a typical event runs $300–$800 in flat fees plus a fuel surcharge of $20–$80 and labor of $15–$25 per hour per staff member. Minimum-sales-guarantee events should state the guarantee in the Notes so the invoice reflects the shortfall if sales fall short.

Collect a non-refundable deposit of $100–$300 to lock the date, and set the balance due on receipt or Net 7 after the event. Use the Terms dropdown to set the window that fits your cash flow.

Food Truck invoice questions

What should a food truck invoice include?

Your business name, the event organizer and event name, a unique invoice number, the event date, itemized booking fee, per-event fee, fuel, labor, permits, deposits, the total due, and payment terms.

How do food trucks charge for events?

Common models are a flat booking fee plus a per-event fee, a minimum sales guarantee, or a percentage of sales. Most trucks also charge a fuel surcharge and staff labor for larger events.

Should I collect a deposit for events?

Yes. A $100–$300 non-refundable deposit locks the date and covers your prep time. The balance is typically due before or immediately after the event.

How do I handle permit fees?

Health department and event permit fees are usually passed through at cost — list them on their own line so the organizer sees they are reimbursable, not markup.

Do I charge sales tax on my invoices?

Yes, most states require sales tax on prepared food. Apply your local rate with the Tax field; the organizer may also need a tax-exempt certificate for private events.

Is this food truck invoice template really free?

Yes. No account, no signup, no export limit. Everything runs in your browser and the details you type are never transmitted anywhere — you can even use it offline.
